Job Description:
Primarily responsible for performing all administrative operational functions required for the division including but not limited to answering the phone, qualifying customer requests, dispatching the technicians, making work schedules, processing work orders, issuing purchase orders. Job Responsibilities: - Answer queue calls from clients and employees. - Assist in qualifying customer requests. - Assist in creating work schedules for technicians based on the needs of the company and the job requirements of the technicians. - Follow protocols established in the Dispatch Best Practices document to schedule and dispatch all incoming work orders. - Use the company dispatch software to record all job activity including scheduling activity, labor costs, inventory costs via purchase orders, and correspondence. - Use the company GPS/Navigation software to assist in managing the field staff. - Ensure all source documents (work orders, confined space entry forms, manifests, etc.) are collected and processed timely. - Forward all estimate requests to the sales department on a timely basis. - Assist in creating and amending any and all administrative documents needed for the management of the field staff including inventory and pricing documents. - Communicate with the automotive facility manager and the tool/inventory manager regarding the status of division tools and equipment affecting your division. - Assist in any administrative duties deemed necessary for educational meetings including but not limited to curriculum schedule and meeting attendance sheets. - Participate in any additional administrative projects as directed by the Department Head. Job Requirements: - Excellent computer skills including advanced knowledge of Excel (test will be administered) - Ability to use and understand a GPS navigation system - Outstanding customer service skills Monday through Friday 9:00 am – 5:30 pm. One Saturday per month required 7:00 am – 3:30 pm. Additional hours may be required as deemed necessary.
